This is a large update — the biggest so far this year — covering job tracking, invoicing, SMS, reporting and pricing, along with a new Jobs portal screen and an optional point-of-sale dispensing flow.

Below is a plain-language summary. No action is required on your side, with two exceptions noted under Worth knowing at the end.


Job Tracking

  • New Jobs portal screen — jobs can now be searched, viewed as a Kanban board, moved between stages by drag-and-drop, and printed, from the portal.
  • Fitting measurements are no longer frozen by invoicing — an invoice is often raised before the frame is cut, so invoicing used to lock the measurements too early. They stay editable after invoicing.
  • Job and exam numbers on new branches — a newly created branch could end up issuing job cards and exams with no number at all (shown as New). New branches now pick up numbering correctly.

Appointments

  • Appointments stay within your branch — the appointment list now shows only your own company's appointments, with the deliberate exception that staff still see appointments they are personally an attendee on.
  • Notification flood stopped — a change that could fill the Inbox with appointment notifications has been corrected.

Clinical Examinations

  • C/D ratios carry forward — cup-to-disc ratios recorded at a previous examination are now brought through to the next one, instead of being re-typed.
  • Faster start on long patient histories — opening an examination for a patient with a very long history no longer slows the screen down.
  • Intra-ocular drawing opens in its own window, making it easier to work with.
  • Fitting Details hidden for trial contact lenses, where it did not apply.
  • Tags field removed from the examination form, where it was unused.

Invoicing, Credit Notes and Payments

  • South African date format and a wider patient ID on the printed invoice.
  • Invoice layout options apply per company — branches can set their own layout toggles rather than inheriting one setting across the group.
  • Clearer error when an optometrist is missing — the message now names the field that needs filling in, instead of a generic warning.
  • Accounting Managers can raise credit notes without needing a higher permission level.
  • Cost Price and Gross Profit % columns added to the Credit Notes list.
  • Two crashes fixed — reversing a credit note, and processing a vendor refund return, could each fail with an error. Both now complete.
  • Lock dates are properly enforced — a route that allowed posting into a locked period has been closed.
  • Deleted payments are now logged, so a removed payment can be traced afterwards.
  • Auto-posting of vendor bills can be switched off per company, instead of applying group-wide.

Pricing and Pricelists

  • Scheduled pricelist clean-up no longer removes live pricelists — an automated job could delete pricelists that were still in use. This is the most significant fix in this release for anyone who noticed prices disappearing.
  • Pricelist items follow their parent pricelist, so items stay with the pricelist they belong to.
  • Price labels show two decimal places consistently.
  • Faster pricelist searching on catalogues with very large numbers of items.

SMS

  • Replies to your SMS messages are now captured and recorded against the patient, and delivery receipts are applied so you can see what was delivered.
  • Mass SMS and Recall crash fixed — sending to a group could fail on some branches.
  • Shared sender IDs stay available to branches that do not have their own.
  • Several smaller SMS fixes — the message composer could fail to open, gateway credential fields were not displaying on the SMS account, and the app icon did not load.

Reports

  • Optometrist column added to the Daily Invoice Report.
  • Product category filters added to Stock Sold by Product Category and Stock Sold by Supplier (Days to Sell).
  • Stock By Age export fixed — exporting to Excel could fail with an error.
  • Financial year now follows your company settings, so reports line up with your own year-end rather than a fixed one.

Patients and Medical Aid

  • "Problem Account" and "Problematic Patient" are now a single toggle — the two separate switches did the same job and have been merged.
  • Bulk medical-aid verification is safer — where a patient's details were incomplete, a verification could still be submitted to the switch. Incomplete records are now skipped with the reason recorded, before anything is sent.
  • A crash on medical aid look-ups during bulk updates has been fixed.

Stock

  • Floor deliveries use the correct source location, keeping the delivery route in step with the Floor location.

New: Point of Sale for optical dispensing

An optional point-of-sale dispensing flow is available for practices that sell over the counter. It is not switched on automatically — speak to us if you would like it enabled for your practice.


Enterprise Edition Only

  • Customer Statement fixes — the ageing summary and payment QR code on statements have been corrected, including a fault that could stop a statement generating when sent automatically rather than printed on screen.
  • Statement column widths — Amount and Balance columns were being cut off on the printed statement.
  • Extended Budgets are scoped to the company — budgets no longer appear across branches, and a budget can only be linked to an account belonging to its own company.

Worth knowing

Two items need a word from us rather than nothing at all:

  • Multi-branch practices — several changes in this release tighten how records are separated between branches (appointments, budgets, invoice layout settings). If anything that used to be visible across all your branches now appears only in one, that is intentional. Tell us if it affects how you work and we will look at it with you.
  • New branches — when a new branch is added, its accounting setup is now linked automatically. Existing branches are unaffected.
